Privacy Policy

ACTIQO (“we,” “our,” or “us”) helps parents and guardians stay on top of their children’s activities. This policy explains what information ACTIQO collects, how we use it, who processes it on our behalf, how long we keep it, and the choices you have. We do not sell your family’s information, we do not share it with advertisers, and ACTIQO is ad-free.

Who ACTIQO is for

ACTIQO accounts are held by adults (18 or older). Children do not have accounts and cannot sign in. A child in ACTIQO is a profile that the account holder creates and manages. Information about children is provided through adult-held ACTIQO accounts; children do not enter information directly or hold ACTIQO accounts.

Information you provide

  • Account — name, email address, password (or a Google or Apple sign-in), time zone, and your notification and marketing preferences.
  • Child profiles — the child’s name and, if you add them, birthdate, grade, pronouns, gender, an avatar or initial, and a color used to tell children apart in the app.
  • Activities, sessions, and events — activity names, schedules, session times, locations and addresses, who is handling a session, and any notes you add.
  • Check-Ins — whether a session was attended or missed, the reason if missed, enjoyment and energy ratings, and any note you write.
  • Costs — fees, expenses, budgets, travel estimates, and the vehicle type you choose for travel cost estimates.
  • Reflections and Highlights — answers to weekly and monthly reflection prompts, saved moments, results, and scores, including any free text you write.
  • Family members and caregivers — the names and email addresses of the adults you invite to your family or add as caregivers, and their roles.
  • Phone number — if you choose to receive Check-In texts, the phone number you verify.
  • Support and feedback — messages you send us and feedback you submit in the app.

Information collected automatically

  • Device and technical data — IP address, device and browser type, operating system, app version, and error reports.
  • Push tokens — if you allow notifications, a device token that lets us deliver them.
  • Product-usage events — which screens and features are used, as described under “Analytics and monitoring.”

Location information

ACTIQO uses location in two different ways, and it matters which is which:

  • Stored location — the addresses and map coordinates of the activities and events you add, and, if you provide it, your home postal code or home coordinates. We store these so ACTIQO can show where to go and estimate drive and leave-by times.
  • Transient device location — on iOS and Android, and only if you allow it, the app reads your device’s current position to estimate drive time from where you are now. That position is used on the device for about ten minutes and then discarded. ACTIQO does not send your device location to our servers or keep a history of where you have been.

How we use information

  • To provide ACTIQO: schedules, leave-by times, Game Plans, Check-Ins, costs, Insights, and coordination with the adults you invite.
  • To send the notifications you turn on, by push, email, or Check-In text.
  • To generate AI-assisted summaries and suggestions, as described below.
  • To keep the Service secure, prevent abuse, and troubleshoot problems.
  • To understand how ACTIQO is used and to improve and develop the Service.
  • To respond to your support requests.
  • To manage a billing relationship, if you have one with us.

Our Terms of Service describe the permission you give ACTIQO to process your information for these purposes. You keep ownership of the information you add.

AI-assisted features

Some features — weekly and monthly Insights and summaries, reflection write-ups, Highlight headlines, and short contextual messages after a session or result — are generated with Google’s Gemini service. To produce them, we send Google the information the feature needs, which can include your children’s names, activity names, attendance and enjoyment and energy ratings, costs, session results and scores, and the free text you write in Check-In notes, reflections, and Highlights. Google returns written text, which we store in your account and show to you. If the AI service is unavailable, ACTIQO produces the same features with its own non-AI logic instead. AI output is informational and can be wrong; it is not professional advice.

Text messages and email

Check-In texts. If you verify your phone number and turn on Check-In texts, ACTIQO sends a text after a session so you can record the Check-In by replying. That is the only kind of text ACTIQO sends. Message and data rates may apply. Reply STOP to stop all texts or HELP for help. You can also turn texts off in Settings.

Email. We send account and service emails (for example, sign-in, invitations, and support replies) and, unless you turn it off, a weekly read of your family’s activities. Every non-essential email includes a way to unsubscribe.

Analytics and monitoring

  • Google Analytics runs only on our public, signed-out pages. It is not loaded on signed-in household pages or on links that carry an access token.
  • Microsoft Clarity records how the app is used, including on signed-in household pages, with strict masking: all text and input fields, including children’s names and schedules, are replaced by blocks in recordings. We do not connect Clarity recordings to your identity, and Clarity is not loaded on tokenized share links.
  • Amplitude, when enabled, records product-usage events. Events are associated with your ACTIQO account identifier while you are signed in. Session recording, when enabled, is limited to a small sample of public pages with text and inputs masked; it does not run on signed-in household pages.
  • Sentry, when enabled, receives error and performance reports with scrubbing configured to remove personal information before transmission to Sentry.
  • Cloudflare Turnstile protects our public forms from automated abuse and receives your IP address and a challenge token.

We do not use these tools for cross-app or cross-site tracking, and none of them are used for advertising.

Service providers

We do not sell your personal information and we do not share it with advertisers. Trusted service providers process information on our behalf, only as needed to operate ACTIQO, under agreements that restrict how they may use it:

  • Supabase — database, file storage, authentication, and server functions. Privacy policy
  • Vercel — hosting for the ACTIQO website and app services. Privacy policy
  • Google — Sign in with Google; Maps, Places, and Geocoding for activity addresses; Gemini for AI-assisted features; Firebase Cloud Messaging for Android push notifications; Google Analytics on public pages; and Google Fonts. Privacy policy
  • Apple — Sign in with Apple, iOS push notifications and Live Activities, and App Store purchases if you make one. Privacy policy
  • Twilio — phone-number verification and Check-In texts. Shared: your phone number and the content of Check-In texts. Privacy policy
  • Resend — email delivery. Shared: your email address and the content of the email. Privacy policy
  • Geoapify — postal-code and address geocoding. Shared: the postal code or address text you enter. Privacy policy
  • Open-Meteo — weather for your leave-by context. Shared: your postal code, not your name. Terms and privacy

  • Stripe and RevenueCat — payment processing and subscription management, used only if you have a billing relationship with ACTIQO or make a purchase. Card details are held by Stripe or Apple; we never see or store them. Stripe · RevenueCat

We may also disclose information when the law requires it, to protect the rights and safety of ACTIQO and its users, or as part of a business transaction such as a merger or acquisition, in which case this policy will continue to apply to your information.

Aggregated and de-identified information

We may create aggregated or de-identified information — for example, how often families in a region attend a type of activity, or typical enjoyment trends by age band — once it can no longer reasonably identify you, your child, or your household. We use it to improve ACTIQO, build and refine recommendations and benchmarks, and for research, analytics, and planning, and we may keep it after your account is deleted. We do not intentionally re-identify information that has been properly de-identified. Our long-term recommendation and benchmark data is built from de-identified features such as age bands, activity categories, participation frequency, distance and cost bands, and attendance and enjoyment trends, not from names, contact details, exact addresses, precise coordinates, or the verbatim text you write.

How long we keep information

We keep your household information while your account is active, so that your family’s history, coordination, and Insights keep working. We do not automatically delete useful history from an active account just because it is old. Beyond that, this is our retention schedule:

When you delete your accountWe aim to remove your personal information from our active systems within 30 days, and sooner where the law requires it.
BackupsDeleted information can remain in backup and disaster-recovery copies for up to 90 days. Backups are used only to recover from a failure, never for product, analytics, model, or marketing purposes, and deletions are re-applied if a backup is restored.
Check-In text recordsThe minimum record needed to show consent, STOP, HELP, and delivery (not the message content) is kept for 5 years after the last text. Ordinary text content is kept for up to 12 months unless it became part of your saved Check-In history.
Marketing opt-outsThe minimum record needed to keep honoring your opt-out is kept indefinitely and used for nothing else.
Billing and tax recordsRecords needed for tax, accounting, refunds, and disputes are kept for 7 years. This does not extend to family or child information.
Security and audit logs24 months, or longer for records tied to an actual security incident, fraud, investigation, or legal matter.
Support records24 months after the matter is closed, or longer for an unresolved dispute or legal obligation.
Raw product analytics24 months, then deleted, aggregated, or de-identified.
De-identified and aggregated informationKept indefinitely, as described above.
Legal holdsWhere a legal, regulatory, tax, security, or litigation obligation requires it, we keep only the specific records needed for that purpose, and we do not use them for anything else while they are held.

Your choices

  • Export your data — from Settings, download a copy of your household information.
  • Delete account — from Settings, permanently delete your account and your family, children, activities, sessions, Check-Ins, costs, reflections, and Highlights. Deletion is irreversible.
  • Notifications — manage push, email, and Check-In texts in Settings, or reply STOP to any text.
  • Location — control device-location access in your phone’s settings; ACTIQO works without it.
  • Requests — to access, correct, or delete information, including information about your child, email privacy@actiqo.app.

Children’s privacy

ACTIQO is designed for parents and guardians, not for children, and is not directed at children under 13. Only adults hold accounts. Information about children — such as a child’s name, birthdate, and activity schedule — is entered by the parent or guardian who holds the account, and that parent or guardian can view, correct, or delete it at any time in the app or by emailing us. We do not knowingly collect personal information directly from children under 13, and we do not share children’s information with advertisers or third-party marketers. If we become aware that a child under 13 has provided personal information directly to ACTIQO, we will delete it promptly.

Security

We use technical and organizational safeguards designed to protect your information, including encryption in transit, access controls, and encryption of stored data by our hosting and authentication providers. No system is perfectly secure, so please keep your sign-in credentials private.

Changes to this policy

We may update this policy as ACTIQO, the law, or our service providers change. We will post the updated policy here with a new “Last updated” date and, for material changes, tell you by email before they take effect where reasonably possible.
